The Reception Supervisor is responsible for overseeing the daily operations of the reception area and providing leadership to the front desk team. They ensure a high level of customer service and efficient administrative support throughout the organization.

 

 

Key Responsibilities:

– Manage and supervise a team of front desk/reception staff
– Create work schedules, assign duties, and monitor employee performance
– Provide training, coaching, and development opportunities for reception staff
– Oversee the reception area and ensure it is staffed, organized, and well-supplied
– Handle more complex or escalated customer inquiries and complaints
– Coordinate the visitor sign-in/sign-out process and manage visitor access
– Manage the incoming phone calls and route them to the appropriate personnel
– Maintain accurate records and logs of all visitor, client, and call activity
– Assist with the coordination of meetings, events, and other administrative tasks
– Monitor and report on key performance metrics for the reception team
– Collaborate with other departments to ensure seamless communication and workflow
– Ensure compliance with all security, safety, and confidentiality protocols
– Serve as the primary point of contact for reception-related issues or concerns
– Perform other duties as assigned by management

 

 

Required Skills and Qualifications:

– High school diploma or equivalent, with some post-secondary education preferred
– Minimum 3-5 years of experience in a reception or customer service role
– Proven leadership and supervisory skills, with the ability to train and manage a team
– Excellent communication, interpersonal, and customer service skills
– Proficient in using office equipment, software, and multi-line phone systems
– Strong organizational, problem-solving, and decision-making abilities
– Familiarity with office administrative procedures and best practices
– Ability to work well under pressure and handle multiple tasks simultaneously
– Knowledge of security protocols, confidentiality, and visitor management
– Flexible schedule, including the ability to work evenings, weekends, and holidays
