Job Title: Chancellor
Position Purpose
The Chancellor is the principal officer responsible for the proper drafting, authentication, transmission, and safeguarding of official diocesan acts and records, ensuring that the administrative and canonical processes of the Archdiocese are carried out accurately, confidentially, and in accordance with the Code of Canon Law and the directives of the Archbishop of Suva.
Key Responsibilities
- Prepare, coordinate, and maintain official diocesan documentation including decrees, mandates, appointments, delegations, official letters, and related registers.
- Ensure the correct processing, recording, and notification of official acts of the Archbishop and the diocesan curia.
- Authenticate official Archdiocesan documents and certify copies as required.
- Serve as custodian of Archdiocesan records and archives, ensuring secure, confidential, and well-organised filing systems (physical and digital).
- Establish and maintain consistent records management practices, including access protocols and retention procedures, in line with Church and Archdioucesan requirements.
- Provide administrative and procedural guidance to parishes and Archdiocesan offices on documentation and official processes, as appropriate.
- Coordinate chancery workflows and documentation requiring review, approval, and signature, ensuring accuracy and timely completion.
- Maintain a high standard of confidentiality and professionalism in all matters, including sensitive personnel and governance-related records.
- Supervise and support chancery staff and administrative processes as assigned.
Requirements
- A practicing Catholic in good standing, with a mature commitment to the mission and values of the Church.
- Demonstrated experience in administration, governance support, records management, or a comparable professional environment requiring discretion and precision.
- Strong written communication skills, including the ability to draft formal correspondence and official documents.
- High level of integrity, confidentiality, and sound judgment when handling sensitive information.
- Excellent organisational skills with proven ability to manage priorities, deadlines, and multiple stakeholders.
- Competence with office systems and digital document management (e.g., email, spreadsheets, secure filing).
- Training or qualifications in Canon Law, theology, church administration, archives/records management, or a related field.
- Experience in a diocesan office, parish administration, Catholic agency, or similar setting.
- Familiarity with formal protocols, registers, and document control practices.
