Job Title: Export Documentation Officer
Key Responsibilities
- Prepare, verify, and process all export shipping documents including, commercial invoices, packing lists, bills of lading and certificates of Origin.
- Phytosanitary and Health Certificates (where required).
- Ensure compliance with international trade regulations, customs requirements, and company policies.
- Liaise with freight forwarders, shipping lines, customs brokers, and overseas customers.
- Track export shipments and provide status updates to internal departments and customers.
- Maintain accurate records and filing systems for all export transactions.
- Resolve documentation discrepancies and shipment issues promptly.
- Support audits and provide export documentation when required.
- Coordinate with internal teams such as Sales, Warehouse, and Finance to ensure timely shipment processing.
- Monitor export deadlines and ensure all documents are submitted on time.
Requirements
- Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum 1-2 years’ experience in export documentation, logistics, or shipping (manufacturing or FMCG industry preferred).
- Strong understanding of export procedures, Incoterms, and customs documentation.
- Excellent attention to detail and organizational skills.
- Proficient in MS Excel, Word, and ERP systems.
- Strong communication and coordination skills.
- Ability to work under pressure and meet strict deadlines.
- Knowledge of Fiji customs and export regulations will be an advantage.
