Position Overview: We are currently seeking a motivated and detail-oriented Operations Support Officerto join our dynamic team. As As an Operations Support Officer you’ll be key in keeping our operations running smoothly by liaising with suppliers, handling purchasing tasks, and providing administrative support. Your role involves communicating with suppliers, assisting with customer inquiries and backorders, return logic enquiries and supporting warehouse operations. You’ll also monitor delivery performance, manage returns and supplier credit claims, and coordinate transportation. Essentially, you’ll ensure our operations and purchasing processes are efficient and effective.

 

Key Responsibilities: As an Operations Support Officer at Our Pacific Office, your responsibilities will include:

Use SAP daily to follow up PO’s and provide regular updates on backorders anddelivery statuses to customers and internal stakeholders. Follow up on overdue purchase orders and communicate backorder notifications to customers.
Ensure timely fulfillment of supplier orders and report on delivery performance.
Support customer experience team with purchase order inquiries.
Monitor and report on supplier delivery in full on time (DIFOT) performance.
Respond promptly to customer inquiries and tickets via Zendesk.
Prioritise and resolve post-sale tickets, focusing on customer experience queries.
Facilitate stock ordering processes and generate purchase orders.
Manage pending custom purchase orders and ensure timely approval.
Handle returns end-to-end and supplier credit claims, including approving simple
returns and liaising with the warehouse for processing.
Coordinate transport logistics, including manifest compilation and delivery scheduling, including facilitating drop ship orders, managing communication betweensuppliers and warehouse for efficient fulfillment.
Assist with internal accounts reconciliation and resolve any account-related queries.

 

Key Performance Goals

Your main performance goals will be set as part of the performance management process and are subject to change. You will develop your own plan, and each week, your manager will review your workload and assess the performance, volume and quality of your work.

 

Qualifications: To be successful in this role, you should possess:

Experience in operations, purchasing, and customer service.
A track record of providing exceptional service.
Strong attention to detail and comfortable working with numbers. 2-3 years purchasing, administration or stock control experience.
Proven advanced Excel and/or Google Sheets experience.
Energetic, positive communicator with excellent people skills and a can-do attitude.
A proactive approach to solving problems, getting things done and communicating with your team.
Demonstrated ability to thrive in a fast-paced, always-changing environment.
Experience with invoice processing and supplier communication.
Familiarity with warehouse operations and logistics.
Ability to generate and manage purchase orders effectively.
Competence in compiling and analysing reports on delivery performance (DIFOT).
Experience in coordinating transport logistics and managing manifests.
Capability to handle returns.
SAP experience is highly desirable.
Previous Zendesk experience preferred.
