Procurement Administrator

Fiji Airways is looking to recruit a Procurement Administrator who is responsible for carrying out ad hoc day to day procurement activities for the business, raising requisitions, ensuring appropriate inventory management, managing requisitions and purchase orders, facilitating requests for customs clearance processes and advising business users of procurement processes while ensuring compliance.

This role reports to the Manager Procurement.

KEY RESPONSIBILITIES

  • Provides assistance with planning procurement activities for the Company.
  • Manages and administers the Advance Requisition Manager System ensuring system functionality and exploring opportunities for improvement with a focus on efficiency.
  • Monitors inventory levels for stock turn over and makes appropriate replenishments to avoid nil stock situations ensuring these replenishments are carried out economically.
  • Develops and maintains sources of supply ensuring compliance checks are completed by regulatory authorities for new vendors and update records accordingly.
  • Formulates price criteria and evaluates all procurement activities for review and approval.
  • Recommends disposal of company assets that are beyond economical repair ensuring all obsolete and surplus assets are consolidated and made available for sale.
  • Assists in minimizing procurement risks and closure of audit findings.
  • Liaises with appropriate organisations and consolidates inbound and outbound consignments.
  • Performs purchasing tasks and recommends selected quotes for approval while achieving value add in every procurement activity.
  • Ensures purchase orders are closed in a timely manner and conducts reconciliation of accruals and stock to maintain accurate record for management of purchase orders.

QUALIFICATIONS, SKILLS & EXPERIENCE

  • Must have a Diploma in Business and/or Finance
  • To hold a CIPS Qualification would be an added advantage
  • At least 2 years of experience in a procurement support role
  • Must have proven experience in inventory management, purchasing and Accounts Payable.
