As the world’s largest family of luxury hotels, we all take great pride in being genuine ambassadors of the InterContinental® brand. First impressions count. Under the guidance of the Executive Assistant Manager – Dining & Entertainment or his delegate, the Administrative Assistant ensures in assisting the department’s document management including coordinating/assisting EAM/EC/R&EOM/OM/CDC in ensuring that the department operates in accordance with IHG standards to ensure maximum efficiency and guest satisfaction. He/she promotes IHG’s working culture based on its five winning ways: Do the right thing, Show we care, Aim higher, Celebrate difference and Work better together.

Your day to day

We are looking for enthusiastic and professional team players who know how to deliver great service and exceed guest expectations. Ideally you will:

  • Support the EAM and the entire Dining & Entertainment team with clerical duties, including typing, printing, scanning, shift-swap reports, timesheet collation, etc.
  • Record & monitor inputs/logs preventive maintenance work orders including month end submission of reports.
  • Raise for submission under the direct supervision of DOE/EC/EM.
  • Provide administrative support for both the Food & Beverage and Kitchen departments (Dining & Entertainment).
  • Lead and direct routine Dining & Entertainment activities.
  • Coordinate with project coordination team members, vendors, subcontractors, etc. with regards to any equipment installation, etc.
  • Validate with requestors, & raise Purchase Order requests in lieu with company procurement rules.
  • Document control & management of all Brand Standard documentation, License recordings, tracking of license, maintenance renewals, other requested tracking by the EAM and/or Executive Chef.
  • Maintain certain inventory and supplies of engineering department used to effect operation of entire hotel; maintain records and file on all mandatory systems, such as preventive maintenance, work requests, Inventory change logs, etc.
What we need from you

To be successful in this role, you will need:

  • Experience – you have worked for more than 3 years in a similar role in a 5-star property.
  • Full Fijian driver’s license with the ability to operate both manual and automatic vehicles.
  • Flexibility – Availability to work shifts across a 7-day roster including weekends and public holidays.
  • Can do attitude – wanting to support your team members and roll up your sleeves.
  • Detail – a great eye for detail and wanting everything to be placed perfectly in its place.
