Salary
FJD 30,000 – 45,000 per annum
Qualifications
Degree in Finance, Accounting, Business Administration, or a related field
Experience Requirement:
- Minimum of 4 years of professional experience in an executive support, finance, or administrative role.
- Solid background in finance and accounting processes.
- High proficiency in typing and preparing professional meeting minutes.
Desirable:
- Some experience in handling travel arrangements, hotel bookings, and itinerary planning.
- Previous exposure to executive-level support roles.
Job Summary:
The Executive Assistant will provide high-level administrative and operational support to the organization’s leadership. This includes managing travel arrangements, overseeing financial and accounting tasks, preparing meeting minutes, and ensuring all tasks are handled with strict confidentiality and precision. The ideal candidate will demonstrate exceptional organizational skills, an eye for detail, and a proactive approach to problem-solving.
Key Responsibilities:
- Plan and organize travel arrangements, including flights, hotel bookings, visas, and comprehensive itineraries.
- Ensure seamless coordination of travel schedules with courses or events.
- Prepare, edit, and distribute accurate meeting minutes promptly.
- Maintain and manage the executive calendar, ensuring efficient scheduling of appointments and meetings.
- Handle sensitive correspondence and documentation with high levels of confidentiality.
- Support financial operations.

- Assist in preparing financial documentation and reports for leadership review.
- Draft and format high-quality documents, reports, and presentations as needed.
- Ensure proper record-keeping and management of organizational files and documents.
- Act as a point of contact for internal and external stakeholders, ensuring smooth communication.
- Review and proofread documents to ensure accuracy and professionalism.
- Identify and address discrepancies in travel or financial arrangements promptly.
- Supervise office cleaning personnel to maintain a clean and professional workspace.
- Handle all information and interactions with the utmost confidentiality and discretion.
Key Skills:
- Exceptional organizational and time management skills.
- Strong typing skills with attention to detail and accuracy in meeting minutes.
- High-level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication skills, both written and verbal.
- Strong analytical and problem-solving abilities.
- Ability to work in a fast-paced environment while maintaining a calm and professional demeanor.
