The Opportunity

The appointee will provide a wide range of administrative and secretarial support to Library Management, heads of sections/units/staff groups inclusive of the management of the offices of the University Librarian and the Deputy University Librarian.

Administrative and secretarial responsibilities include but are not restricted to:
– Timely secretarial and administrative support;
– Memo/minute and report writing and the preparation and organization of correspondence and reports as required that may be confidential in nature;
– Records management inclusive of the maintenance and updating of the established Library international filing system;
– Advice and assistance to other staff (seniors, clerk/typists) in the area of office management;
– Participation in discussions of new and revised procedures and practices and evaluation of these in addition to making recommendations for follow-up actions;
– Assistance in interpretation of administrative rules, regulations and procedures of the Library and the University;
– Organization of annual events and workshops, meetings, internal training and conferences and social activities;
– Management of the Library Advisory Committee in consultation with the Secretary, LAC (DUL) ;
– HR duties: assist with the preparation of job advertisements and position descriptions and HR processes;
– Customer service related aspects of the Library’s administration and management;
– Direct or indirect oversight of the building maintenance, security and transport;
– Liaison with and management of back-up roster for clerical staff;
– To work with a wide range of persons that includes senior library staff, academic staff, students, University Senior Management Team (SMT), diplomats and members of the University Council along with local, regional and international personnel linked to the Library through the provision of services, funding and products.

The Person We Seek

To be considered for this position, applicants must have:

– Bachelor’s Degree and Must have 2 years’ experience or more in similar role;
– demonstrated proficiency in written and spoken English;
– knowledge of administrative procedures and processes;
– demonstrated ability to write and provide high quality memorandum and reports under tight deadlines;
– excellent numerical and organisational skills;
– self-motivation and be able to work under pressure without routine supervision;
– excellent interpersonal and team playing skills with the ability to work with and establish rapport with staff at all levels in a multicultural environment;
– Above average knowledge of a range of software to support administration work;
– Flexibility and willingness to accommodate change and demonstrate experience consistent with the requirements of the position.
Preference will be given to applicants with:
– An equivalent combination of relevant experience and/or education/training;
– intermediate or Advanced Certificates in Microsoft Office;
– knowledge of administrative procedures and processes in an academic environment.

Salary Range: FJ $32,246 to FJ $38,138 per annum
