Aspen Medical is seeking enthusiastic candidates for the role of Finance Officer – Inventory & Collections Officer. The successful candidate will be responsible for receiving goods into the system, entering stock dispatch in the system and receipting and reconciling revenue collections and preparing daily banking. The position will ensure strong control and accountability of stock and revenue. This role reports to the Financial Controller.
The roles and responsibilities of this position include:
Ensure that stocks are received into the system on timely basis
Ensure that the stock requests are entered in the system upon dispatch
Ensure that proper supporting documents are provided to Payables for payment processing
Effectively oversee revenue collection and revenue reconciliation for banking
Verify that the correct items have been received with proper documentation such as signed and stamped supplier invoice / delivery dockets and Goods Received Advice (GRA)
Verify the supplier invoice against PO after the goods have been physically received in stores
Perform inventory costing
Enter the inventory costing into the inventory system
Collate and provide the detailed documentation to Payables for payment processing
For all stock requests, prepare packing slip for Stores Officer to dispatch physical goods
Ensure that items dispatched accompany proper documentation
Enter the dispatch into the inventory system
Perform monthly receiving and dispatch reconciliation
Monitor Minimum stock level to help facilitate buying
Prepare transfer documentation and update system for inter department stock transfer
Attend stock takes as required
Prepare SOP for inventory receiving and dispatch and cash collections
Receiving cash from Patients and providing receipt
Reconciling daily revenue collected
Preparing daily banking
Proper record keeping of receipts
Assisting with internal and external audits
Any other duties assigned by the Financial Controller.
Experience and Qualifications Required
Diploma / Degree in Accounting and Financial Management
At least 3 years relevant experience
Ability to multi-task and work under minimum supervision
Possess strong Microsoft Office Excel skills
Ability to work extra hours when required
Demonstrated analytical and organizational ability and the ability to maintain high work standards under pressure.
Desired:
Knowledge of the Health Industry.
Prior experience of working with an inventory system
